How to Cancel an Etsy Order (Buyer and Seller)
Only the seller can cancel, which explains most of the confusion. The steps for both sides, what happens to the fees, and the charge that catches sellers out.

Only the seller can cancel an Etsy order. Buyers cannot do it themselves, no matter how quickly they change their mind. That single fact explains most of the confusion around cancellations, and two others explain most of the problems.
Only the seller can cancel
There is no cancel button on the buyer's side of Etsy. The order belongs to the seller once payment goes through, and cancelling it is an action only they can take from their Shop Manager.
This is different from Amazon or eBay, where buyers often have a short self service window. On Etsy, a cancellation is a conversation.
If you are the buyer
Message the seller. That is the whole process, and speed is the only thing that improves your odds.
Go to your Purchases, find the order, and select Contact the shop. Say clearly that you want to cancel, and say why. Sellers are far more accommodating to "I ordered the wrong size" than to a request with no explanation.
Send it before the item ships. Once a parcel is in the post, cancellation is usually off the table and you are into return territory instead, governed by the shop's return policy rather than by cancellation.
Check the shop's policies first. Custom and personalised items often cannot be cancelled once production has begun, and that is reasonable rather than obstructive. The seller has already cut the fabric or fired the piece.
Digital downloads are usually final. Once the file has been delivered, there is nothing to return.
Sellers are not obliged to cancel. Etsy's cancellation policy lists the circumstances where they may, and a seller who has already made your item is entitled to decline.
If you are the seller
Five steps, from Shop Manager.
- Open Orders and Shipping
- Find the order and select the three dot menu, or open the order and choose More actions
- Choose Cancel
- Pick a reason from the dropdown, which shows you the refund amount due
- Add a message to the buyer and select Cancel order
Message the buyer before you do it, not after. A cancellation that arrives without explanation is the most reliable way to turn a minor problem into a poor review.
What Etsy's policy allows
Etsy permits cancellation in specific circumstances rather than at will. In short:
- The payment failed or was charged back
- The buyer asked before dispatch and you have issued a full refund
- You are refusing service and have refunded in full, including postage
- The buyer never received the item and you have refunded
- You both agreed to a return, the item came back, and you refunded
The common thread is a full refund. If the buyer paid through Etsy Payments, refunding the postage is not optional.
Refunding is not the same as cancelling
This trips up a surprising number of sellers.
Issuing a refund does not cancel the order. The buyer gets their money and the order sits in your dashboard as an open, unfulfilled sale until you cancel it separately from the Orders and Shipping page.
Two actions, in that order. Refund, then cancel.
If you have refunded a buyer and the order still shows as active, nothing is broken. You have done half of a two part process.
What happens to your fees
The good news first. When you cancel, Etsy credits back the listing fee, the transaction fee and the payment processing fee to your Payment account. Cancelling costs you nothing in fees.
The bad news is worth reading carefully, because sellers report it going wrong.
Fee refunds are supposed to be automatic, and usually are. Sellers on Etsy's own forums have reported transaction fees not being returned on cancelled orders, sometimes across several orders before anyone noticed.
Check your Payment account after a cancellation. If the fees have not come back, contact support, because they can and do return them manually.

This is the one that causes genuine alarm, and almost no guide mentions it.
When you cancel, Etsy refunds the buyer immediately. It takes that money from your Payment account. If your Payment account does not hold enough, Etsy charges the card on file for the difference.
Sellers have posted on Etsy's forums about a cancellation pulling several hundred pounds from their bank with no warning, and assumed something had gone badly wrong.
Nothing had. The money went to the buyer, the fees came back separately, and the net position is correct. But if your funds are usually deposited quickly and your Payment account runs near empty, a cancellation on a large order will hit your card rather than your Etsy balance.
It nets out, but the timing does not. The card charge is immediate and the fee refund lands in your Payment account, so for a few days it can look considerably worse than it is.
When you cannot cancel
Four situations where the option is unavailable or unwise.
The order is still processing. Etsy Payments orders take roughly 24 to 72 hours to clear. You cannot refund or cancel until that finishes.
The item has shipped. Handle it as a return instead, following your shop's return policy.
It was a digital download that has been downloaded. There is nothing to recall.
It was custom or personalised and production has started. Etsy's policies and most shop policies both allow you to decline here.
After a cancellation
Three things worth knowing.
The sale disappears from your count. Cancelled orders no longer count toward your sales total and move to the Complete tab in Orders and Shipping.
A sold out listing does not come back. Cancelling an order for the last item in stock does not restore it. You have to renew the listing yourself.
The buyer can still review. If the order falls inside the review window, a review is still possible. Which is the strongest argument for handling the cancellation politely.
Processing takes up to 48 hours, and the refund typically appears in the buyer's account within three to five days depending on their bank.
Reducing cancellations in the first place
Most cancellation requests fall into two categories, and both start with the listing rather than the order.
"It is not what I expected." Usually size. A photo without a scale reference is the single most common cause, and adding one hand or one familiar object to a listing prevents more cancellations than any policy wording.
"The colour is different." Heavily edited or filtered photos cause this. A photo that flatters the product creates a buyer who is disappointed by the real thing.
